Monday morning, at a glance
Everything below is sample data, wired the way your real jobs would flow. Your estimating software stays. Your accounting stays. This is the layer between them and the City.
Needs your attention the system watches, you decide
This is the part where you click around
Start with the Subcontractor Door. Walk one sub from prequalification to a purchase order, then watch that PO land in the City report by itself.
The Subcontractor Door
Every sub who wants to work with C.D. Moody comes in through one door, and is checked on the way in, not the week the PO is due.
On cdmoodyconstruction.com today
The Subcontractors page lives at /blank-1. It asks a sub to download a prequalification PDF, fill it in, and upload it through a form. Where that upload lands, who checks it, and whether the COI on it is still current lives in an inbox.
Read from your live site, 17 September 2026.
Here
The same form, on your domain, lands in a queue. COI, W-9, and M/FBE or DBE certification are checked on arrival. Expiry dates are watched from that day on. When the sub is bought out, everything they already gave you rides on the PO.
Prequalification queue sample, this week
| Subcontractor | Trade | Certification | COI | W-9 | Status |
|---|---|---|---|---|---|
| Peachtree Mechanical | HVAC | City of Atlanta M/FBE | Expires in 11 days | On file | Renewal request drafted |

Walk one sub through and try to break it
The system never decides who gets the work or for how much. That is your call. It does everything after.
The PO, and everything that rode along with it generated the moment you issued it

Why your own copy of this matters City Auditor, report 24.04, October 2024
The City audited its own compliance program last October. Quoted from the report:
Read from the audit PDF directly, atlaudit.org, 20 September 2026. Every figure above is the City's, not ours.
Which of these are you exposed to six questions, about thirty seconds
Each one maps to a finding above. Answer them the way it actually is on a Tuesday, not the way it is supposed to be. Your individual answers stay in this browser. We are told only that somebody finished it, and the count.
One question we could not answer from the public record
On a joint venture, federal rule counts toward a DBE goal only "the distinct, clearly defined portion of the work of the contract that the DBE performs with its own forces" (49 CFR 26.55(b)). Below 30 percent of contract cost performed with its own work force, the agency must presume no commercially useful function, and the burden to rebut sits with the firm.
Whichever partner's project system the job runs in, that evidence is yours to hold. So: where does the record of what your own forces performed actually live?
A question for the working session, not a claim about your contracts. We do not know which of your jobs carry DBE goals, and we did not guess.
The schedule your surety reads first
Sample data. The columns are not ours, they are the ones a surety asks a contractor to prepare, and the joint venture line carries only what your own forces perform.
Work in progress sample, current period
Schedule of Work in Progress
| Job | Revised contract | Billed to date | Cost to date | Est. cost to complete | Est. final gross profit | Complete |
|---|---|---|---|---|---|---|
| Concourse T restroom renovations City contract | $4,306,000 | $2,980,000 | $2,640,000 | $1,190,000 | $476,000 | 68.9% |
| Student housing, West End joint venture, your own forces only | $2,640,000 | $1,180,000 | $1,205,000 | $1,150,000 | $285,000 | 51.2% |
| Elementary school HVAC replacement | $1,880,000 | $1,640,000 | $1,520,000 | $190,000 | $170,000 | 88.9% |
| Terminal concourse widening joint venture, your own forces only | $6,400,000 | $2,100,000 | $1,880,000 | $3,900,000 | $620,000 | 32.5% |
| Four jobs | $15,226,000 | $7,900,000 | $7,245,000 | $6,430,000 | $1,551,000 |
Overbilled $30,235. Underbilled $201,939. Reported as two numbers, never netted into one. They are two different conversations: money taken and not yet earned, and money earned and not yet asked for.
Why these columns and who is asking for them
The National Association of Surety Bond Producers tells contractors plainly what a surety expects to see. The columns above are its list, not ours:
On a joint venture there are two records, and only one of them is yours
A joint venture keeps its own separate books of account, governed by the venture agreement and open to examination by either partner "at all times," with audits on either party's request that include a comparison of actual cost against the estimate, item by item. That is the venture's record. It is not your company's record, and the two are not interchangeable.
Every figure above is checkable which is the point
Surety expectations and the WIP column list: National Association of Surety Bond Producers, How to Obtain Surety Bonds: An Introduction to Contract Surety Bonding for Contractors, and 51 Questions Small Contractors Ask About Bonding.
"Heart of the surety's file," the compiled/reviewed/audited ladder and the red flag list: Robert Mercado, Managing Director, CBIZ, NASBP Surety Bond Quarterly, 8 July 2026.
Joint venture books, examination rights, equipment rentals and the overhead bar: NASBP standard joint venture agreement forms; AIA C101-2018 requires each party to keep records distinct from the venture's.
Counting own forces toward a goal: 49 CFR 26.55(b), and the commercially useful function presumption at 26.55(c).
Sample numbers throughout. Your real jobs, your real cost basis, and your real venture terms are what the working session is for.

Seen enough to talk specifics?
This demo runs on sample data. The real build runs on your projects, your subs, your City forms. That is what the working session is for. Nothing you already run gets replaced.
What it refuses to do
Every other demo you will sit through is a demonstration of blanks being filled in for you. It prices the trade, it schedules the submittal, it shows a tidy percentage. That is what makes a demo feel good and what makes software wrong on a real job. This is the list of what ours declines to fill in, and the reason for each.
It will not credit a firm on the strength of a typed name.
Certification is carried from the prequalification record. It is never read off an invoice, and never inferred from a company name. A firm that is not on file still appears on the report at its full value and still counts zero toward the goal, so the share goes down instead of up. The City's own auditor found $530,667 of minority credit sitting with firms the city itself lists as Caucasian-owned. Software that credits whatever you type is that finding, automated.
City report · utilization
It will not net over-billing against under-billing.
Two different problems, two different conversations, and one blended number hides both. One is money you have taken and not yet earned. The other is money you have earned and not yet asked for. Your surety reads them separately, so this reports them separately.
WIP & surety
It will not infer that coverage is still in force.
A certificate with no expiry date is a certificate with no expiry date. It is never quietly read as probably still covered. That distinction is the whole difference between a compliance file and a deposition.
Compliance · certificates of insurance
It will not say a sub owns work on an unsigned purchase order.
Ask who owns the acoustic door seals and the answer arrives with its contract state attached. They signed for it and the purchase order is still out for signature are different facts, and a superintendent standing on the floor acts differently on each one.
Field · scope lookup
It will not read a bidder's silence as coverage.
A subcontractor who excludes three lines has said nothing at all about the other forty. Coverage is proposed only from what they actually wrote, in their own words, and your estimator confirms it or throws it out. Silence is never read as yes.
Invitations to bid · coverage
It will not produce a price.
Takeoff assembles the scope, the quantities, and what this trade cost you the last time. The number stays your estimator's. A system that invents a price is a system that loses a job by eight percent and cannot tell you which line did it. You already run estimating software for your GMPs at 50 and 75 percent of drawings. This does not go near it.
Estimating · takeoff
It will not invent a date it does not know.
Submittal scheduling works backward from the real lead time and the real need-by. Where a lead time is not known, the register says it is not known, rather than showing a deadline nobody ever committed to.
Submittals & RFIs
It will not let the record be edited after the fact.
The field log is append only. A correction is an addition, so what was written on the 14th still reads as what was written on the 14th. A daily report that can be quietly revised is not evidence of anything, which matters most on the day somebody asks you to prove what happened.
Field · daily log
Why this page exists and why it is in your demo and not just on our website
Because it is the part a competitor cannot answer with a release note. A missing feature gets a roadmap. A refusal cannot be answered at all, because it is a claim about what software should not be trusted to do, and their demo already did it in front of you.
And because a contractor who has been burned once by a confident dashboard recognises this list on sight, while everybody else scrolls past it. After thirty eight years you are the first kind.
Every line above is enforced in the code, not in the marketing. If one is ever relaxed in the product it comes off this page the same day. You can test the first one yourself in about four seconds.
